How to design a volunteer role that creates meaningful experience

Start with work that needs to be done

Define the contribution in practical terms. If the role exists mainly because volunteers are available, it will be difficult to explain its purpose or create a meaningful experience.

Set a clear outcome

Describe what success looks like for the organization and the volunteer. A defined event, completed project, supported group or operating responsibility gives the role shape.

Be precise about expectations

State the time commitment, schedule, location, responsibilities, required skills, screening and any physical or technical requirements before someone signs up.

Plan onboarding and support

Identify who welcomes the volunteer, what they need to learn, where guidance comes from and how questions or problems will be handled.

Name the experience a person can gain

Be honest about the skills, exposure, relationships, feedback, references or community the role can offer. Do not promise career outcomes the program cannot control.

Decide how contribution will be recorded

Before recruiting, determine how the organization will track hours, responsibilities, projects, milestones and outcomes—and what useful record the volunteer will receive afterward.
